1. Preparation of the QA Report:
- Begin drafting the QA report six weeks before the authorization expiration date.
- You can find your clients authorization expiration date on CREssentials.
2. Insurance Information:
- If you have any questions regarding insurance information, please email the clients case manager for clarification.
- If you don’t know who your client's case manager is, please submit a ticket at blueaba.zendesk.com.
3. Subject Line Formatting:
- When submitting the report, format the subject line of your email as follows:
- [Client’s Initials] – [Type of Assessment (Initial/Re-auth)]
4. Submission Timeline:
- The report needs to be submitted to QA Four Weeks Before Expiration
- Ensure you cc your case manager and state director on the email as well.
5. QA Review Process:
- The QA team will review the submitted report.
- Turnaround Time: Expect a review response within 3 business days of submission.
6. Submission to Insurance:
- Once QA has approved the report, your case manager will submit it to insurance.
8. Compliance Reminder:
- Only clients with an active authorization can receive services. Late submissions may lead to gaps in service delivery, so adherence to this process is critical.
9. Important Note:
- The state director will no longer be sending reminders 30 days or more prior to the submission deadline. It is the responsibility of each BCBA to manage their submission timelines proactively.
